Race Registration Policies


NO REFUNDS:  

 

There will be absolutely no refunds. No exceptions — unless you purchase Registration Protection (see details below).

Registration Protection is administered solely by Protecht, Inc. — not by Haku or the Escape From Alcatraz Triathlon. 

How to Purchase 

  • Add during registration checkout, or 

  • Add via your participant account within 5 days of completing registration. After this period, it cannot be purchased. No exceptions. 

Coverage 

Protects your non-refundable registration fee if you cannot attend due to sudden and unexpected circumstances (e.g., serious illness or injury, death in the family, pregnancy complications, jury duty, traffic accident, weather emergencies, active-duty military changes, or job loss). 

Note: USAT memberships are non-refundable and are not covered by Registration Protection. 

Coverage applies to eligible items purchased during your initial checkout (e.g., race entry registration fee, VIP packages, FinisherPix). Products purchased in a separate transaction after initial checkout are not covered. 

Exclusions (examples, not exhaustive) 
No refunds for foreseeable or routine conflicts, change of mind, business obligations, mental health conditions, alcohol/substance issues, or if the event itself is canceled, postponed, or modified. 

Important Notes 

  • Athletes may request either a refund or a deferral — not both. 

  • Coverage applies only to the event year purchased; it cannot be deferred to future years. 

  • All claim reviews, decisions, and payments are made by Protecht, Inc. 

Refund Request Process 

  1. Log into your participant account and open your registration. If purchased, you will see a “Refundable Registration” box with a link to “Request a Refund.” 

  1. You must submit your refund request within 30 days after race day: 

    1. 2026 race date: June 7, 2026

    2. Request deadline: July 7, 2026, 11:59 PM PT 

  1. After submitting your request, you have up to 90 additional days to provide required documentation (e.g., general physician’s note for illness). 

    1. Documentation deadline: October 5, 2026, 11:59 PM PT 

  1. Track your claim status in your account: Pending, Approved, or Denied. 
    Approved refunds are typically processed within 5 business days by Protecht.

Medical Deferral & Military Deployment 

  • Individual Age Group participants (not part of a relay, collegiate, or charity team) may request to defer their event entry slot and entry fee to the following year due to a legitimate medical reason or military deployment. 

  • Deferral fees apply based on the date of confirmation (see schedule below). 

  • Participants who deferred in the prior year are not eligible to defer again. No exceptions. 

  • Deferrals include select products purchased during registration (VIP packages and FinisherPix), but do not include a USAT membership fee. A USAT membership must be purchased for the year in which you participate. 

  • Registration Protection purchases are valid only for the event year purchased and cannot be deferred. 

 Deferral Fees & Fee Schedule 

Participants who request a deferral must pay a non-refundable deferral fee at the time of confirming their 2027 slot. This fee is in addition to the 2026 entry fee already paid at registration and must be paid in October 2026. The amount due will depend on the date the deferral is confirmed: 

  • On or before March 31, 2026, 11:59 PM PT — Deferral Fee: $275 USD ($297 after fees)
  • April 1 – April 30, 2026, 11:59 PM PT — Deferral Fee: $400 USD ($432 after fees)
  • May 1 – June 1, 2026, 11:59 PM PT — Option to defer requires payment of the full slot fee ($798.25 USD, $862.11 after fees).
  • After June 1, 2026, 11:59 PM PT — No deferrals will be accepted under any circumstances. 

Deferral Request & Confirmation Process 

To request a deferral, email info@escapealcatraztri.com with one of the following: 

  • Medical Deferral: Attach a general doctor’s note (see requirements below). 

  • Military Deployment Deferral: Attach copy of official orders or a signed letter from a commanding officer confirming active duty during the event dates. 

A deferral is not confirmed until required documentation is received. Your deferral fee is associated with the date your documentation is received (see schedule above).  

Doctor’s Note Requirement (Medical Deferrals Only) 

Submit a general doctor’s note confirming you are unable to compete by emailing info@escapealcatraztri.com before the applicable deadline (see schedule above). 

  • Template: “It is recommended that [Athlete Name] not compete in the 2026 Escape from Alcatraz Triathlon due to an injury, illness, or other legitimate medical reason.” 

  • Important: Do NOT send medical records or sensitive personal information. Such information will be deleted, and a general doctor’s note will be requested instead. 

Email Confirmation of Deferral 

  • You will receive a confirmation email from official Event Staff once your deferral is approved. Requests will be reviewed and responded to within 5–7 business days. 

  • No deferrals will be granted after June 1, 2026 — no exceptions  

    • Including, without limitation, if the event is delayed, canceled, postponed, relocated, shortened, modified, reduced in scope, or otherwise changed.

    • Please note: Once staff are onsite for race operations after June 1, 2026, deferral requests will not be reviewed or processed. 

Future Event Participation 

Participation in any Escape from Alcatraz Triathlon subsequent to the Event (or successor event) is subject to: 

  • The Event Organizer’s receipt of the applicable payment set forth above,
  • The Event Organizers (or successors) electing to hold such an event, and
  • The participant meeting all requirements in place at that time (including, without limitation, executing event documents/waivers or meeting physical and age requirements). 

Event Cancellation Policy

Should the entire Event be canceled or rescheduled, we will attempt to contact you to inform you of such cancelation or rescheduling. If the Event is canceled or rescheduled due to uncontrollable extenuating circumstances (e.g., extreme weather, government mandate, etc.), we may, in our discretion, offer refunds or deferrals, and will attempt to contact you to inform you of any refund or deferral procedures for such canceled Event. Exact instructions on any refund or deferral procedures for such canceled or rescheduled Event will be provided via email to athletes, and may include the option to defer your entry to a future race year or receive a refund of any Eligible Payment hereinafter defined), provided any such procedures and instructions shall be subject to our discretion in each instance, and we reserve the right to set them in accordance therewith. Notwithstanding the foregoing, IF AN EVENT ENTRY WAS PURCHASED THROUGH A METHOD OTHER THAN THE ESCAPE FROM ALCATRAZ WEBSITE OR ANY OTHER DIRECT PURCHASE FROM US, PLEASE CONTACT THE PERSON OR ENTITY FROM WHOM YOU PURCHASED SUCH ENTRY, AS YOU WILL NOT RECEIVE A REFUND FOR SUCH PURCHASES. An “Eligible Payment" is any payment made to the Event Organizer during the entry period for the applicable canceled Event and directly for entry into the applicable canceled Event (i.e., no refunds will be issued for previously deferred entries). If your entry to the canceled Event was not obtained via an Eligible Payment, you will not be entitled to a refund. 

Event entries are sold subject to our absolute right to alter or vary the Event without any obligation to make a refund. However, if the Event, or any part of the Event, is materially altered from the pre-planned Event schedule but is not cancelled, we may make reasonable efforts to provide an alternative race experience or other alternative benefits, and will attempt to contact you of the same, but we shall not be required to give you a refund under any circumstances. 

If we do elect to issue a refund for a cancelled or rescheduled Event, we will only refund an Eligible Payment at face value (or, for a discounted entry, the discounted entry price paid), as applicable. In no event will delivery charges, service fees or any other amounts be refunded. If a refund is issued, where reasonably possible it will be issued using the same method of payment that was used to purchase the Event entry. We will not be liable for travel or any other expenses that you or anyone else incurs in connection with a canceled or rescheduled event.
